 MEETING MINUTES

  1.  OPENING

 ·         The meeting was called to order by State President, James “Randy” Hobbs.  Randy welcomed the attendees to the 3rd quarter VA State AFA Meeting and led the assembled group in the pledge of allegiance.

·         State Chaplain, Bill Cuthriell provided the invocation.

·         Steele Chapter President, Peter Jones, welcomed the State EXCOM and reviewed the logistical details for the meeting and working lunch.

 

2.  OFFICERS’ REPORTS:

 ·         Secretary’s report/roll call – Bart Barton

·         Notice  and Agenda was provided by State President, Randy Hobbs, at Tab 0.

·         Chapter roll call was completed with all chapters represented by their president or designated vice.

·         State Officer roll call was completed with a majority of officers present or represented by proxy. 

·         A quorum, as defined in the Constitution and Bylaws, Article X, section 6, was confirmed

·         Minutes from the June 12, 2010,2nd Quarter Meeting in Charlottesville, Virginia, as posted on the VA State website, were reviewed and approved on motion by Jim Hannam, second by John Murphy and voice acclamation of the EXCOM.

 

·         Treasurer’s report –Jim Holt

·         Reviewed the 2nd Quarter VA State Financial Report, at Tab 1.   The balance as of the 30 June was $10,090.18.  This amount does not reflect the AFA State support payment that will be received in the 3rd quarter.

 

·   VP/Admin – Al Berg

·         Al reminded all Chapter Presidents to submit new officer rosters to Randy as soon as possible after upcoming elections.  This information is due to National NLT 30 Oct.

·         A June revision to the EXCOM social roster was provided to participants by direct email and is available by request to Blair Ellis as the new VP Admin.

 

3. STATE REPORT:  Randy Hobbs presented the state of the State and reflected on the following topics:  

      USAF Virginia State Specialty License Plate is currently lagging in subscriptions.  Only 25 orders are in place for the 350 requirement with 4 months to go.

      VA has a full Delegate Slate for National Convention with 27 individuals attending.

      Virginia AFA Hospitality Suite will be up and running on Monday, starting at 4:30.  Volunteers are required to host, etc.

      Randy will be representing the AFA at the grand opening of the Galanti Education Center at the VA War Memorial on Saturday, 18 Sep.

 

4. CHAPTER REPORTS:

 

5. REGIONAL REPORTS:  

  • VP North:  no report
  • VP East:  no report
  • VP West:  no report

 

6. COMMITTEE REPORTS:

  • Aerospace Education: Jim Hannam presented the briefing at Tab 12.   He emphasized the following topics:
    • AFA Education Objectives
    • CyberPatriot III
    • After discussion, the EXCOM decided to review chapter boundaries WRT schools to ensure no overlap and to maximize participation in CyberPatriot.  Ken Spencer was tasked to lead a sub-committee to develop a presentation at the Nov EXCOM based on inputs from Chapters.

 

  • Fundraising: Mac MacAloon provided an update briefing on the status of the Virginia Suite at the National Convention.  He noted that the negotiations with the Gaylord had gone well and he expected a first class operation.

 

  • Awards: Nick Abate provided the Chapter Presidents a recently updated master tracking data sheet.  This was a reduction from the previous excel spreadsheet that was maintained by Mary Anne Thompson.  He requested updates from Chapters.  Nick also noted that he planned on conducting an Awards Workshop after the next quarterly EXCOM on 6 Nov.

 

  • Communications: Randy Hobbs gave a quick review of website plans in John’s absence

 

  • Membership – Chip Moran presented new AFA application and information that was available on the AFA National website.  He noted that as a 501(c)(3), we are no longer restricted in membership to veterans.  We can now solicit friends and family as full members.  He suggested setting up a membership table at all events and offered to help at any Chapter event.  Chip suggested that Chapters review their national data base and contact members that are within 90 days of membership expiration.

 

  • Government Relations:  Jim Holt noted that the Congressional Morning Reception cancelled.   

 

·         Virginia Joint Leadership Council of VSOs Report: Bart Barton reviewed the recent actions of the JLC.  The 2011 Legislative Objectives have been approved and are posted on the VA Department of Veteran Services website.  Information was provided to all Chapter Presidents on the 3 Constitutional amendments that are on the Nov ballot.  All are Vet friendly. 

 

On motion by Jeff Platte and seconded by John Murphy, the EXCOM approved the VA State AFA act as the primary sponsor for the JLC’s PLO on Veterans Courts

 

7.  CENTRAL EAST REGION:  Jeff Platte provided a briefed CER update and noted that the CER would be hold its caucus after the National Award Dinner this evening.   He discussed the 10 Sep Regional Presidents Meeting that was held with National Leadership.  Main topics were membership, leadership development, and recruit to task.

 

8. OLD BUSINESS

·         The discussion on State Meeting Hospitality Suite procedures was postponed until Nov

·         The update on Chapter websites was postponed until Nov

 

9.  NEW BUSINESS:

·         Quarterly Newsletter Excusals:  Randy noted he had not received any to date and none were brought forward from the floor.

 

11. ADJOURNMENT:

 

  • Randy announced that the next quarterly EXCOM Meeting would be hosted by the Gabriel Chapter on 6 Nov and details would be sent by email as soon as possible. 
  • Having completed all the official business on the approved agenda of the EXCOM, a motion to adjourn was forwarded by Kevin Lavin, seconded by Al Berg and approved by voice acclimation.
